The Children's Trust is seeking proposals for a single organization to operate The Children’s Trust Youth Advisory Committee (YAC), a leadership development program for high school age youth with a focus on service and civic engagement, especially relating to children and families in Miami-Dade County. The YAC serves as the youth voice of The Children’s Trust. The proposal should include student recruitment, staff engagement and retention, budgeting and purchasing, monthly meetings across Miami-Dade, activities, student-driven social media, and local and out-of-town field trip planning and execution, student-led community service project development and execution, and other program needs, while ensuring the program maintains The Children’s Trust YAC brand and identity. All proposals should also demonstrate experience with positive development of high school age youth.

Q & A
- If an organization makes less than $200K in revenue annually, can they still apply? If so, what financial documents can they submit in lieu of a financial audit?
- An Audited Financial Statement is required.
- Regarding budget line items for out-of-town travel: Should costs associated with the overnight trip to Tallahassee be grouped as one line item, or itemized separately by category (transportation, lodging, meals, etc.)? Additionally, is it allowable to contract with a travel or tour company to coordinate transportation and lodging arrangements for program participants?
- The budget must support all costs associated with the implementation of the YAC and all required components in the activities section, including out-of-town travel. This section is not scored by the review team as part of the application rating, but all proposed budgets are reviewed by Trust staff experts who will assess whether the budget is aligned with proposed activities and identify any concerns or challenges that require changes to comply with the expectations. The budget can be laid out as the applicant prefers, whether itemizing every cost or including it as a lump sum. Yes, a travel or tour company may be utilized for out-of-town travel.
- What is the percentage cap for indirect cost?
- Indirect Cost cannot exceed fifteen percent (15%)
- Will there be a site visit or an interview? Will these be online or in person?
- After an initial review of all applications for this initiative, some agencies within the fundable range may be invited for an in-person interview which will take place on May 5. The interview schedule will be posted on the website with further instructions for the selected agencies. Please see www.thechildrenstrust.org/communitygrants for all updates regarding this initiative.
- When will applicants receive their scores?
- This review process is multi-layered. It begins with an independent review where each reviewer scores and rates each assigned application independently. There is then a debriefing meeting where reviewers discuss individual ratings, areas of strength, and opportunities. Reviewers can modify their ratings and comments if desired to reach consensus. At the end of this stage, we will have one score and a consolidated comment per section, based on the average. A team score and an overall likelihood of success based on the proposal will be assigned to each application. Interviews will then be offered to some agencies within the fundable range followed by a fiscal health review. Funding recommendations will be made on May 12.
- Are all pre-applictions screened? If information and doumentation provided does not meet the initial requirements will the organization be notified so that they do not move forward with the completion of the RFP? (ie: finacial statement does not suffice, etc.)

- How can mutiple logins be created so that more than one person can complete different sessions of the application
- The users need to open an account in Trust Central and the person who created the application needs to assign them to the application under Assigned Users.
- How are the current facilitators paid? And much?
- Two to three adult facilitators manage the respective YAC chapters. These qualified adult facilitators with youth development experience are paid a monthly stipend of $250 at the end of the month after services for the month are complete.
- We would like to collaborate with others, is it possible to get a list of participants to the bidders conference?
- For this solicitation, applicants must take full responsibility for YAC program operation and management. Applicants should not propose any subcontractors. Professional services may be utilized.
